Executive / Administrative Assistant

 

Location: Remote (9am – 5pm Eastern Time Zone)

Employment Type: Full-time

About the Role:

Radar Hire is seeking a highly organized and proactive Executive/Administrative Assistant to support the founder and leadership team of an established architecture firm based in the United States. The firm specializes in commercial architecture with a focus on design excellence and operational precision. As the right hand to the founder, you will be responsible for ensuring smooth day-to-day operations, managing internal workflows, and helping the team stay focused on design and delivery.

The ideal candidate thrives in fast-paced creative environments, has strong attention to detail, and can confidently take ownership of administrative processes from start to finish. Prior experience in architecture, construction, or professional services is a strong plus.

 

Key Responsibilities

Office & Project Administration

  • Answer and route calls, manage voicemail, and block spam
  • Maintain and update digital filing systems, office standards, and internal documents
  • Coordinate continuing education programs (Lunch & Learns / CEU sessions)
  • Order and manage office supplies, including water deliveries and inventory checks
  • Coordinate IT-related issues and manage software with Digital Drafting Systems (AutoDesk, Bluebeam)
  • Interface with HR/PEO provider for employee benefits, onboarding, and compliance
  • Maintain office calendar (PTO, meetings, site visits, team events)

People Operations

  • Post job openings and review resumes
  • Handle new hire onboarding and terminated employee documentation
  • Review and approve timesheets, payroll, and PTO requests
  • Support yearly benefits renewal and insurance comparison process

Client & Compliance Support

  • Submit government paperwork for projects
  • Prepare and send payment releases and lien waivers for invoicing

Accounting & Project Management

  • Enter clients and projects into QuickBooks Online and Monograph
  • Set up and maintain project estimates, phases, staffing allocations, and budgets
  • Manage invoicing (15th and 30th), statements (30th), and billing follow-ups
  • Process and code expenses: courier, FedEx, printing, consultant payments
  • Track reimbursable costs and ensure accurate project-level accounting

 

Required Skills & Qualifications

  • 3-5 years of experience supporting executives or managing administrative functions
  • Strong organizational skills with proven experience juggling multiple responsibilities
  • Experience with QuickBooks Online and familiarity with time/project tracking software
  • Excellent communication and documentation skills
  • Comfortable with spreadsheets, document formatting, and cloud-based software tools
  • Discretion, reliability, and professionalism in handling confidential information
  • Self-motivated with the ability to work independently in a remote environment

Nice to Have

  • Experience working in or supporting an architecture, engineering, or construction firm
  • Familiarity with industry-specific platforms like Monograph, AutoDesk, or Bluebeam
  • Knowledge of basic accounting principles and project billing workflows

Eastern Standard Time (EST) | Monday to Friday | 9am – 5pm
